Unable to submit an audit

In this article, we help you identify the reasons why an audit won't submit and what to do.

Audits fail to submit for various reasons. The following list will help you identify the possible causes.

βœ… Check the audit questions

Audits must have every question answered before they can be submitted.

πŸ“ŒNote: Questions can only be answered by those with roles enabled in the audit settings. If the role isn't enabled an error will occur when trying to answer questions: You do not have the permission to complete this action.

  1. Open the audit.

  2. Click the Step 1 - Questions tab.

  3. Review the questions to check they have all been answered.

  4. If the audit has multiple sections, use the drop-down above the Step 1 - Questions tab to select each folder and make sure all sections are completed.

Enable roles in the audit

To fix the issue, follow these steps to ensure the correct roles are assigned in the audit setup:

  1. Click Admin from the left-hand menu.

  2. Under the Audits section, select Manage Audits.

  3. Locate the relevant audit and click the Edit icon.

  4. Scroll down to view the audit questions.

  5. For each question, check if there are any role restrictions listed at the top. This shows which roles can answer that question.

Add a missing role

  1. Click the person icon above the question.

  2. Tick the Select All box if you want to apply changes to all questions at once.

  3. Open the Assign Roles drop-down menu.

  4. Select the roles that need access to the question.

  5. Click Save to apply the changes.

Once completed, users with the assigned roles will be able to answer the audit questions without encountering the permission error.


βœ… Check the audit

  1. Click the Step 2 - Actions tab.

  2. Scroll through each section to check the information has been filled in.

  3. Next, click the Step 3 - Summary tab.

  4. Scroll through each section to check the information has been filled in.

  5. Click View Report.

  6. Scroll past the report document and hover your mouse over Submit this audit.

  7. Once all sections are completed, the Submit button will become available to click, otherwise, it will still show the cursor with a red no-entry symbol.


βœ… Check the audit settings

One reason an audit may not submit is if it requires a mandatory option that isn't actually included in the audit setup.

  1. From the left menu, click Admin.

  2. Under Audits, click Manage Audits.

  3. Use the Select Folder drop-down box to find the audit required.

  4. Click Edit.

  5. In the Audit Requirement section, uncheck any of the boxes that relate to options that are not in the affected audit. These are:

    • Residents

    • Employees

    • Room

    • Date

  6. Click Save Settings.


βœ… Check the audit dates

If you're completing an audit over several days, it might not submit if the deadline has passed while you're still working on it. When an audit is created, it takes the open and closed dates based on the settings at the time of creation.

  1. From the left menu, click Audits.

  2. Click Audit Planning.

  3. Using the drop-down, select the Location.

  4. Use the filters on the left to find the audit. Note the due date on the audit card.

If the audit has been extended:

  1. On the audit card, click Manage Audit.

  2. Under Audit Instances, check the extended date column.

If the audit deadline has passed:

If the audit deadline or extended deadline date has passed, you won't be able to submit the audit. You'll need to extend the deadline and once done you'll be able to complete and submit it the audit.

Extend an audit deadline

You'll need extend an audit timeframe in order to complete it.

  1. From the left-hand menu, click Audits.

  2. Click Audits Planning.

  3. Select the home required from the drop-down box.

  4. Click Audit settings.

  5. Find the required audit then click Setup.

  6. Under the Audit Schedule, click the left blue arrow next to the date picker.

  7. Find the audit, then click Extend or Submit Now.

  8. Click Extend Schedule.

  9. Enter the extend-to date and time.

  10. Click Save.
