Creating a clear audit schedule helps ensure that audits are carried out consistently, on time, and in line with your organisation’s compliance requirements. By using the scheduling feature, you can plan, automate deadlines, and reduce the risk of missed audits.
Create an audit schedule
Click Admin.
Under Audits, click Audit Planning.
Click the Home drop-down and click on the location.
Click Audit settings.
Locate the audit in the list, and click Setup next to it.
Click Add Schedule.
Enter the Start and End dates.
Enter the Open and Close deadline dates.
Enter the number of times the audit should repeat, or tick Repeat indefinitely if there is no maximum number.
Click Save.
📌Note: Audits scheduled to start in the future will only appear on the Audit Planning screen once their start date is reached.
Minimum expected frequency
Ensuring the Minimum Expected Frequency is set correctly helps audits appear as expected in the planning screen and ensures they follow your required schedule.
Click Admin.
Under Audits, click Audits Planning.
Click the Home drop-down and click on the location.
Click Audit settings.
Locate the audit in the list, and click the edit icon
next to it.
Click the edit icon
Under Quantity, type in the number of audits to be completed.
Under Frequency, click the drop-down and select the period.
Under Start date, enter the date the audit is to commence or select the date by clicking the calendar icon
Click Save.
🤓Tip: If the frequency will be on an Ad hoc basis, tick the box next to Ad hoc when required.
Edit an audit schedule
If your audit hasn't had any instances completed yet, you can edit its schedule.
From the menu on the left, click Audits.
Click Audit Planning.
From the Home dropdown menu, select the location.
Click Audit Settings.
Locate the audit in the list and click the edit icon
next to it.
Click the edit icon
and edit the Quantity, Frequency, or Start date as required.
Click Save.
📌Note: If audits have already been conducted under the schedule you're trying to modify, changes can't applied. We recommended freezing the current schedule and creating a new one.
Freeze an audit schedule
To stop an audit schedule, you need to freeze it first.
Note: Ensure all ongoing audits are completed before freezing a schedule. You can't freeze a schedule if an audit is still in progress.
From the left-hand menu, click Audits.
Click Audits Planning.
From the Home dropdown menu, select the location.
Click Audit settings.
Locate the audit in the list and click the edit icon
next to it.
Click Freeze this schedule.
Click Save.
Delete a schedule
If an audit hasn't been completed, you can delete its schedule. However, if audits have already been completed under that schedule, you'll need to freeze it instead.
From the left menu, click Audits.
Click Audit Planning.
From the Home dropdown menu, select the location
Click Audit Settings.
Click Setup next to the audit.
Locate the schedule, then click the bin icon
next to it.
Click Yes.
