Set up a new user in Care Compliance

This article explains how to create a new user account in Access Care Compliance, including setting up login credentials, assigning a role, and selecting a location.

📌 Note: This article applies to Care Compliance sites that are not integrated with Access Evo. If your site is integrated with Evo, follow the steps in New user setup for Evo-integrated sites.


Before you start

You need admin permissions in Access Care Compliance to create user accounts. If you do not have these, speak with your internal system administrator.


Create the user account

  1. From the left menu, click People, then click Employees.

  2. Add the name of the employee, then on the right of the record, click Add User.

  3. Scroll past the account details section and go to the User Name field. Enter a username for the employee. Usernames must be unique. If you see a Username already in use message, follow the steps in the Username already in use section below.

  4. Select Auto-generated password, or enter a password manually in the Password field. If you enter a password manually, you must also complete the Confirm password field.

  5. If you want the user to set their own password when they first sign in, select Change the password on the next login.

  6. Click Register, then select the user's role. This sets the permissions for the user.

  7. Select the user's main location, then click Save.

🤓 Tip: A confirmation box appears once the new user has been added. You can copy the generated password to your clipboard from here and paste it into an email to share with the new user.


Username already in use

If you see a Username already in use" message when creating a new user, the username is already assigned to another account. Follow these steps to find and resolve the conflict.

Step one: Find the existing user

  1. From the left menu, click Employees.

  2. Click View Employees.

  3. In the Status drop-down, select All.

  4. Click the Username column header to sort the list alphabetically.

  5. Scroll through the list to find the record using that username.

Step two: Update the conflicting username

  1. Click the employee record that holds the conflicting username.

  2. Click Edit User.

  3. Update the User Name field to a new, unique username, or clear the field if the account is no longer active.

  4. Click Save.

The username is now free to assign to the new user. Return to step 3 at the top of the guide.
